Help Wanted: Service Coordinator
We are seeking a highly organized and dedicated Service Coordinator to join our team. As a key member of ROOFTECH, LLC, you’ll play a vital role in ensuring our operations run smoothly, our clients are satisfied, and our service crews are coordinated efficiently.
Key Responsibilities:
- Client Interaction: Serve as the primary point of contact for clients. Handle inquiries, address concerns, and ensure we meet the client’s needs and expectations.
- Scheduling & Coordination: Coordinate crews for various projects by scheduling appointments and managing resources to ensure timely and efficient service delivery.
- Problem Resolution: Troubleshoot and resolve issues that may arise during a scheduled stop, ensuring client satisfaction and smooth operations for the service crew.
- Documentation & Reporting: Maintain detailed records of service activities, client interactions, requests, and resolutions. Prepare performance reports for management.
- Team Collaboration: Work closely with sales, operations, and other departments to ensure seamless service delivery.
- Continuous Improvement: Identify opportunities to enhance customer experience, improve service processes, and increase operational efficiency.
- Compliance & Standards: Ensure that services comply with company guidelines and uphold the quality standards we strive to achieve.
- Follow up with customers on crew arrival times and schedule "rain check" calls with tenants to verify ongoing leaks.
- Facilitate service ticket details such as billing address updates.
- Collect 50% upfront payments for projects exceeding $5,000.
- Monitor crew hours, punch-ins, and punch-outs.
- Manage safety talks and truck inspection forms.
- Maintain stock of office supplies, including ice, water, and snacks.
- Track GPS drive times for accurate billing, especially for out-of-town work.
- Follow up on unpaid service invoices and manage client relations.
- Assist in generating roof reports, adding images, and processing COIs and lien waivers for projects.
- Identify and pull permits for out-of-town projects when necessary.
- Update material pricing spreadsheets as changes occur.
- Strong organizational skills and the ability to juggle multiple tasks.
- Excellent communication skills, both written and verbal.
- A team player with experience in service coordination.
- Problem-solving abilities with a proactive approach to customer service.
- Familiarity with documentation, reporting, and compliance processes.
- Bi-lingual with Spanish preferred but not required.
