Administrative Assistant.

Shelby Main Street is looking for a fabulous addition to our high energy office. This organized and detail-focused person will serve as the part time Administrative Assistant, keeping our office running smoothly and efficiently. This is a great opportunity to be engaged in our community and help promote our local businesses, create and work on a variety of fun projects, including special events, and provide general administrative support. Administrative Assistant - Job Summary: The Administrative Assistant, under the general supervision of the Executive Director, is responsible for creating and managing projects that meet the objectives of the Shelby Main Street Corporation (SMS) – a not for profit, as determined by the Board of Directors. While at work, the Administrative Assistant is an advocate for SMS, providing information and background on the goals and accomplishments of SMS to all business owners, city officials, county officials, and staff, as well as other interested persons. The Administrative Assistant furthers good business practices, design excellence, promotions, and compliance with city, county, state and federal regulations. The range of duties which the Administrative Assistant will perform may include, but are not limited to:  Handle payroll for SMS employees to include all reporting for tax withholding, insurance, retirement, etc.  Attend Board of Directors, committee, sub-committee and task group meetings monthly or as indicated by the Executive Director.  Prepare necessary financial reports, summaries, board and committee minutes, and research projects, also reporting grant administration.  Maintain procedures for special events, personnel, by-laws, data for quarterly financial reports, updating website information and other projects as needed.  Assist in the developing and proof-reading all informational brochures, information packets, flyers, quarterly newsletters and other promotional, marketing or public relations information, as well as, providing mailing lists when necessary.  Create daily social media posts using Canva.  Help organize SMS events and promotions, as indicated by the Executive Director.
This is a part time job of 30 hours per week, Monday through Friday. Some Saturday’s will be required for events. Hours do not always follow the 8:30am to 2:30pm – some meetings begin at 8am and some days require late afternoons. Some SMS events fall on Saturdays or in the evenings, Administrative Assistant will be required to attend and help at these events, with the Executive Director. Hours will be adjusted to keep to the 30 hours per week. Desired Qualifications:  High School Diploma/GED  Excellent Written and Verbal Skills  Strong Computer Skills  Proficient in Microsoft Suite Programs (Word, Excel, Publisher)  Proficient in QuickBooks  Working knowledge of Canva  Ability to use and market on Social Media channels (Facebook, Instagram)  Be a self-starter, imaginative, well-organized, and creative  Ability to work with limited supervision  Must possess effective organizational and time management skills with the ability to multitask and work towards multiple priorities and goals  Must be able to work independently but be able to identify problems proactively and know when to seek advice  Positive Attitude and Enthusiasm The Administrative Assistant’s duties will encompass a variety of tasks. These tasks will be determined by the Executive Director prior to the commencement of activities. Yearly evaluations will be based on the predetermined goals and objectives for the Administrative Assistant.
